From code to voice – Building documentation as a product at ABB

For Shoba Rao, technical writing is far more than instructions on a page – it’s a bridge that turns complex engineering into meaningful experiences for real users. Her journey reflects a deep belief in clarity, collaboration, and user advocacy as a driver of impact.

With over two decades of experience spanning engineering, teaching, and documentation, Shoba has returned to ABB with a mandate to transform how the organization shares knowledge. Her approach is a masterclass in aligning her leadership with ABB’s core values: Courage, Care, Curiosity, and Collaboration. 

Courage: Ownership and Voice
Early on, Shoba struggled with a familiar challenge: being the only female voice at the table – and not always being heard. The turning point came through ABB’s Women’s Development Program (WDP), where a global cohort compared experiences and shared tactics. “I realized it wasn’t just an India thing – it was everywhere,” she recalls. The practice she ultimately adopted: ask clearly and respectfully to be heard, and if excluded, seek feedback and set expectations so it doesn’t repeat. “Tell me if this is not valid – but hear me out. In my mind, this is a very valid reason.”

Our values are the cornerstone of our culture. They shape everything we do, guide our behavior and interactions with our colleagues, customers, partners and society as a whole, and help us realize our purpose. By living our four ABB values, we lead by example in how we do business and behave.
This courage shows up in her daily work. She  speaks openly and acts with integrity, proactively flagging documentation gaps or late-breaking inconsistencies to protect user trust. When she rejoined ABB, she did so with a clear condition: the ownership and authority to overhaul legacy processes and implement a developer-driven workflow. 

Curiosity: The "Soil Test" Mindset 
Innovation at ABB thrives on curiosity, a trait Shoba applies through her "soil test" methodology. “Before I set up the Ferris wheel, I need to test the soil… I don’t want it operational and have the ground underneath just collapse.” 

She emphasizes that perfection gives way to persistence. This mindset led her to move the team to markdown-based documentation, embedding knowledge sharing directly into the daily engineering cycle. 

Her curiosity also extends to the cutting edge of tech; she actively explores AI tools and chatbots to enhance the documentation portal and drafting speed. By piloting changes on a small scale and measuring outcomes before wide implementation, she ensures the "ground underneath" remains solid.

Care: Advocacy and Empathy
For Shoba, "Care" is a strategic advantage for her team and users. She views herself as a user advocate, simplifying complex "loops" in user guides into streamlined, meaningful experiences. Within the team, she is recognized for her contagious positive outlook and her habit of going the extra mile, whether through mentoring colleagues or small acts of hospitality. She manages high workloads responsibly, prioritizing critical content to maintain quality without burnout. 

Collaboration: Connecting the Dots 
Perhaps Shoba’s greatest impact today lies in her ability to "connect the dots" across global teams. By collaborating with UX managers, product leads, and testers, she has transformed documentation from a reactive task into a proactive, user-centered product. Her ability to build trust through active listening has made her a "go-to person" who maintains calm during peak release timelines while aligning teams across regions. 

The Path Forward 
Shoba’s mission is far from over. As she continues to scale developer-owned docs and strengthen the processes that define ABB’s quality, her goal remains singular: fostering a culture that helps teams "build the right thing – and build it right".
